This Privacy Policy explains how Haugen Operations Group, LLC ("HOG," "we," "our," or "us") collects, uses, and protects personal information when you visit haugenoperationsgroup.com, use the client portal at portal.haugenoperationsgroup.com, or otherwise interact with our services. We collect only what we need to operate the firm and serve clients well, and we do not sell personal information.

01Information we collect

We collect personal information in three ways:

  • Information you give us — your name, email address, mailing address, billing address, phone number, company name, and any details you share when you contact us, request a proposal, sign up for the portal, or place an order.
  • Information collected automatically — limited technical data when you visit our sites, including IP address, browser type, device type, referring page, pages viewed, and timestamps. This is used for security, troubleshooting, and aggregate analytics.
  • Payment information — when you pay through the portal, your card or bank details are entered directly into Stripe and are never stored on HOG servers. We receive only a payment confirmation, the last four digits of the card, and the card brand for receipt and record-keeping purposes.

02How we use information

We use personal information to:

  • Deliver services and digital products you've engaged us for;
  • Operate the client portal, process payments, issue receipts and invoices, and manage subscriptions;
  • Communicate with you about your account, your engagements, and the firm;
  • Maintain security, detect abuse, and comply with legal and tax obligations;
  • Improve the website and the portal based on aggregate usage patterns.

We do not use your information for advertising, and we do not sell or rent personal information to third parties.

03Subprocessors we rely on

HOG uses a small set of vetted third-party services to operate. Each receives only the information necessary for its role:

Each subprocessor maintains its own security and privacy practices, and we select providers with strong reputations for protecting customer data.

04Cookies and similar technologies

The website and portal use a small number of cookies and similar mechanisms — primarily for authentication (keeping you signed in), security (detecting unusual access), and basic operational analytics. We do not use third-party advertising or tracking cookies. You can clear cookies in your browser at any time, though doing so may sign you out of the portal.

05Data retention

We keep personal information for as long as needed to deliver services and to meet legal, tax, and accounting obligations. Specifically:

  • Active client records — for the duration of the engagement and for a reasonable period thereafter for reference and audit;
  • Financial records — for at least seven (7) years, as required for U.S. tax and accounting compliance;
  • Marketing inquiries — until you ask us to delete them, or until they go cold (typically two years);
  • Server logs — typically thirty (30) to ninety (90) days.

06Your rights

You may at any time:

  • Request a copy of the personal information we hold about you;
  • Ask us to correct inaccurate information;
  • Ask us to delete your information, subject to our legal and tax retention obligations;
  • Withdraw consent for non-essential communications.

To exercise any of these rights, email admin@haugenoperationsgroup.com. We respond to verified requests within thirty (30) days.

07Security

We protect personal information with reasonable administrative, technical, and physical safeguards — including encryption in transit, restricted access to production systems, multi-factor authentication for administrators, and regular review of subprocessor security. No system is perfectly secure, however, and we cannot guarantee absolute security.

08Children

HOG services are intended for adult professional use. We do not knowingly collect personal information from anyone under thirteen (13) years of age. If we become aware that we've collected such information, we will delete it.

09International users

HOG is based in the United States. If you access our services from outside the U.S., your information will be processed in the United States, where data protection laws may differ from those of your country. By using our services, you consent to that transfer.

10Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Material changes will be communicated by email to active clients or through the portal.
